{"id":4475,"date":"2010-01-07T07:00:24","date_gmt":"2010-01-07T12:00:24","guid":{"rendered":"http:\/\/michaelhyatt.com\/2010\/01\/using-email-templates-to-say-%e2%80%9cno%e2%80%9d-with-grace.html"},"modified":"2010-01-07T07:00:24","modified_gmt":"2010-01-07T12:00:24","slug":"using-email-templates-to-say-no-with-grace","status":"publish","type":"post","link":"https:\/\/fullfocus.co\/using-email-templates-to-say-no-with-grace\/","title":{"rendered":"Using Email Templates to Say &ldquo;No&rdquo; with Grace"},"content":{"rendered":"<p>A good friend of mine who happens to be an author and blogger asked if I had an email template for saying \u201cno.\u201d Apparently, as a result of her rising visibility, she is getting numerous requests from people who want to meet with her or \u201cpick her brain\u201d about this or that.<\/p>\n<p><img loading=\"lazy\" decoding=\"async\" title=\"Screenshot of My Email Templates\" src=\"https:\/\/fullfocus.co\/wp-content\/uploads\/2010\/01\/email-templates1.png\" alt=\"Screenshot of My Email Templates\" width=\"570\" height=\"497\" \/><\/p>\n<p>I get lots of requests like this, too. In fact, I have identified eleven different kinds of requests. I hate saying \u201cno\u201d to people. In fact, I don\u2019t know anyone who enjoys it. So to make the process less painful, I have developed a series of email templates to use for these requests.<\/p>\n<p><!--more--><\/p>\n<p>I have entered each of these templates as an email signature. (Who says a signature has to be <em>just<\/em> a signature? It can be any kind of boilerplate text.) You can do this yourself in <a title=\"Wikipedia Entry for Apple Mail\" href=\"http:\/\/en.wikipedia.org\/wiki\/Mail_%28application%29\" target=\"_blank\" rel=\"noopener noreferrer\">Apple Mail<\/a>, <a title=\"Microsoft Entourage\" href=\"http:\/\/www.microsoft.com\/mac\/products\/entourage2008\/default.mspx\" target=\"_blank\" rel=\"noopener noreferrer\">Microsoft Entourage<\/a>, <a title=\"Microsoft Outlook\" href=\"http:\/\/www.microsoftstore.com\/s\/outlook?WT.mc_id=pointitsem_outlook_generic&WT.srch=1\" target=\"_blank\" rel=\"noopener noreferrer\">Outlook<\/a>, and most other email applications. You could also do this with a macro program like <a title=\"Typinator Web Site\" href=\"http:\/\/www.macility.com\/products\/typinator\/\" target=\"_blank\" rel=\"noopener noreferrer\">Typinator<\/a>, <a title=\"Quickeys Web Site\" href=\"http:\/\/www.startly.com\/products\/quickeys\/mac\/4\/\" target=\"_blank\" rel=\"noopener noreferrer\">Quickeys<\/a>, <a title=\"Keyboard Maestro Web Site\" href=\"http:\/\/www.keyboardmaestro.com\/main\/\" target=\"_blank\" rel=\"noopener noreferrer\">Keyboard Maestro<\/a>, or <a title=\"iKey Web Site\" href=\"http:\/\/www.scriptsoftware.com\/ikey\/\" target=\"_blank\" rel=\"noopener noreferrer\">iKey<\/a>. The tool is inconsequential.<\/p>\n<p>Here is my list of requests by category with my boilerplate text:<\/p>\n<ol>\n<li><strong>People looking for a job.<\/strong> I don\u2019t take these appointments unless I am attempting to fill a spot that will report to me and the person sounds genuinely interesting. Otherwise I send them this:\n<div class=\"setoff\">\n<p>Dear [Name]:<\/p>\n<p>As CEO, I do not get directly involved in the hiring process except in very rare instances, such as filling a key opening on our Executive Leadership Team or on my own staff.<\/p>\n<p>Nevertheless, I can tell you how to get started. Exceptions would include referrals from people I really respect. Otherwise, I say this:\n<div class=\"setoff\">\n<p>Dear [Name]:<\/p>\n<p>Thanks for your interest in having me review your work. I get hundreds of requests like this every year, and I simply can't take the time to review them.<\/p>\n<p>However, I can give you some specific guidance on how to get published. You can\u2019t blame them. Free is my favorite price too. However, except in rare cases (like close friends or certain non-profits), I just don\u2019t have the time. He handles all media requests for me and will be back in touch with you shortly.<\/p>\n<p>Kind regards,<\/p>\n<p>Michael<\/p>\n<\/div>\n<\/li>\n<li><strong>Bloggers submitting a guest post for my consideration.<\/strong> I used to publish a couple of guest posts a month, but I no longer accept any. However, I still get requests from time to time. Here's what I say:\n<div class=\"setoff\">\n<p>Dear [Name]:<\/p>\n<p>Thanks for your interest in being a guest blogger on my site. I am grateful that you took the time to write this post and submit it.<\/p>\n<p>Unfortunately, I'm no longer publishing guest posts. That means I must decline all guest submissions, no matter how worthy they may be.<\/p>\n<p>I wish you the best in your writing endeavors.<\/p>\n<p>Kind regards,<\/p>\n<p>Michael<\/p>\n<\/div>\n<\/li>\n<li><strong>Authors and publishers requesting that I review a book.<\/strong> While I do occasionally review books, I have never reviewed a book that someone pitched me. It is usually a book I discovered on my own and am genuinely excited about. Therefore, I say:\n<div class=\"setoff\">\n<p>Dear [Name]:<\/p>\n<p>Thank you for your kind words regarding my blog. Thanks also for your interest in having me consider your book for possible review.<\/p>\n<p>As you might imagine, I get quite a few requests like this. Unfortunately, I can only read 6\u20138 new books a month. I give first priority to the books that relate to one of my personal interests.<\/p>\n<p>Your book certainly sounds interesting, but I am afraid I will have to pass at this time.<\/p>\n<p>Thanks again,<\/p>\n<p>Michael<\/p>\n<\/div>\n<\/li>\n<li><strong>Vendors wanting an appointment to pitch their product.<\/strong> I get all kinds of emails from vendors fishing for leads. Most of the time, they haven\u2019t taken the time to learn anything about my business or my specific needs; they are just trolling. My spam filter catches most of these. I delete the rest without responding. The act of sending me an email doesn\u2019t obligate me to respond. The only exception I make is if someone I know referred the person or I have actually met them.<\/li>\n<\/ol>\n<p>Feel free to borrow these templates or adapt them to your circumstances.
