{"id":2852,"date":"2009-08-04T06:22:14","date_gmt":"2009-08-04T11:22:14","guid":{"rendered":"http:\/\/michaelhyatt.com\/2009\/08\/before-you-create-a-to-do-list.html"},"modified":"2009-08-04T06:22:14","modified_gmt":"2009-08-04T11:22:14","slug":"before-you-create-a-to-do-list","status":"publish","type":"post","link":"https:\/\/fullfocus.co\/before-you-create-a-to-do-list\/","title":{"rendered":"Before You Create a To-Do List"},"content":{"rendered":"<p>For several years now, I have profited from using a \u201cMaster Task List.\u201d This is a way to group your work-related activities so that you do what you were hired to do and keep from getting side-tracked by \u201ctrivial pursuits.\u201d It is something you should develop before you start throwing together a to-do list.<\/p>\n\n<p>I first learned this technique from <a href=\"http:\/\/www.toddduncan.com\/\" target=\"_blank\" rel=\"noopener\">Todd Duncan<\/a>, whose book, <em><a href=\"http:\/\/www.amazon.com\/exec\/obidos\/ASIN\/0785263233\/fwis-20\" target=\"_blank\" rel=\"noopener\">Time Traps<\/a><\/em>, published by Thomas Nelson, is a must read.  It is subtitled, \u201cProven Strategies for Swamped Salespeople\u201d but don\u2019t let this put you off. Even if you <em>aren\u2019t<\/em> in sales, this book has news you can use. Every page is loaded with time-saving tips and techniques for managing your workflow.<\/p>\n<p><!--more--><\/p>\n<p>\u201cMaster Tasking\u201d is the process of identifying your five to seven most productive, most important work-related tasks. A Master Task List is similar to a job description but more useful. It answers the question, \u201cWhat was I really hired to do?\u201d<\/p>\n<p>Here are some characteristics of master tasks:<\/p>\n<ul>\n<li class=\"singlespace\">They are usually important but not urgent.<\/li>\n<li class=\"singlespace\">They spell the difference between success and failure.<\/li>\n<li class=\"singlespace\">You have a hard time getting to them. <\/li>\n<li class=\"singlespace\">They are things you usually do on your own. <\/li>\n<li class=\"singlespace\">They can be scheduled but usually aren&rsquo;t.<\/li>\n<\/ul>\n<p>The purpose of developing a Master Task List is to enable you to focus more easily on those activities that really add value to your department, your division and your company. Once you have a Master Task List you can measure your performance against it. More importantly, you can schedule these activities so you accomplish the most important tasks related to your job.<\/p>\n<p>Master Tasking will enable you to become more productive, more successful, more confident, less frustrated, and less stressed. It is one of the reasons why I have gotten as far as I have in my career. Others who have practiced it have reported similar results. It\u2019s a high pay-off activity for a relatively small investment of time.<\/p>\n<p>Your Master Task List should be written down and periodically reviewed. Each Master Task should be stated as a broad activity area; for example, \u201cManuscript Development,\u201d \u201cCopywriting,\u201d \u201cTravel Planning,\u201c \u201cFinancial Review,\u201d etc. Then, you should list three to seven bulleted subpoints that represent the specific activities related to that particular Master Task.<\/p>\n<p>For example, I have a master task called \u201cBusiness Planning.\u201d Here are the activities associated with that Master Task:<\/p>\n<ul>\n<li>Casting corporate vision<\/li>\n<li>Defining corporate strategy<\/li>\n<li>Reviewing Group and Divisional Strategic Plans<\/li>\n<li>Reviewing Group and Divisional Annual Plans<\/ul>\n<\/ul>\n<p>Notice that each Master Task list activity begins with a <em>gerund<\/em> (i.e., a noun formed from a verb). The idea is to make these action-oriented. These are things you <em>do.<\/em><\/p>\n<p>To give you a real-life example, here\u2019s my current Master Task List:<\/p>\n<div class=\"setoff\">\n<div align=\"center\"><strong>Master Task List<\/strong> <\/div>\n<ol type=\"1\"><strong><\/p>\n<li>Managing Up<\/strong><\/li>\n<ul>\n<li>Meeting with the Board<\/li>\n<li>Responding to the Board\u2019s requests<\/li>\n<li>Preparing for Board meetings<\/li>\n<li>Providing our equity sponsors, investors, and lenders with agreed-upon reports<\/li>\n<li>Making presentations to our equity sponsors, investors, and lenders with agreed-upon reports<\/li>\n<\/ul>\n<p><strong><\/p>\n<li>Business Planning<\/strong><\/li>\n<ul>\n<li>Casting corporate vision<\/li>\n<li>Defining corporate strategy<\/li>\n<li>Reviewing Group and Divisional Strategic Plans<\/li>\n<li>Reviewing Group and Divisional Annual Plans<\/li>\n<\/ul>\n<p><strong><\/p>\n<li>New Business Development<\/strong><\/li>\n<ul>\n<li>Identifying new internal growth opportunities<\/li>\n<li>Identifying new acquisition opportunities<\/li>\n<li>Meeting with and courting prospective sellers<\/li>\n<li>Evaluating acquisition opportunities<\/li>\n<li>Recommending acquisition opportunities<\/li>\n<\/ul>\n<p><strong><\/p>\n<li>Employee Development<\/strong><\/li>\n<ul>\n<li>Coaching my direct reports<\/li>\n<li>Chairing the Executive Leadership Team<\/li>\n<li>Meeting bi-weekly with my direct reports and <em>ad hoc<\/em> as necessary<\/li>\n<li>Preparing for and conducting direct report performance reviews<\/li>\n<li>Recruiting and hiring new executive team members as necessary<\/li>\n<\/ul>\n<p><strong><\/p>\n<li>Author Relations<\/strong><\/li>\n<ul>\n<li>Building relationships with our top authors<\/li>\n<li>Attending author planning meetings with our top authors<\/li>\n<li>Visiting each of our top ten authors on an annual basis<\/li>\n<li>Monitoring the performance of our top authors<\/li>\n<\/ul>\n<p><strong><\/p>\n<li>Customer Relations<\/strong><\/li>\n<ul>\n<li>Building relationships with the CEOs of our top customers<\/li>\n<li>Monitoring the revenues of the company\u2019s top customers<\/li>\n<li>Monitoring the business strategy of the company\u2019s top customers<\/li>\n<li>Visiting each of our top ten customers, in-person, on an annual basis<\/li>\n<\/ul>\n<p><strong><\/p>\n<li>Media Relations<\/strong><\/li>\n<ul>\n<li>Monitoring our brand online.<\/li>\n<li>Maintaining a social media presence online via my blog, <a href=\"http:\/\/twitter.com\/michaelhyatt\" title=\"My Twitter Profile Page\" target=\"_blank\" rel=\"noopener\">Twitter<\/a>, and <a href=\"http:\/\/www.facebook.com\/michaelhyatt\" title=\"My Facebook Profile Page\" target=\"_blank\" rel=\"noopener\">Facebook<\/a><\/li>\n<li>Representing the company to the local and trade media<\/li>\n<li>Returning calls to the media and answering questions<\/li>\n<li>Building relationships with the media<\/li>\n<\/ul>\n<p><strong><\/p>\n<li>Financial Oversight<\/strong><\/li>\n<ul>\n<li>Chairing monthly financial review meetings with group and division leaders<\/li>\n<li>Reviewing and approving financial decisions that exceed the approval level of my direct reports<\/li>\n<li>Providing direction and guidelines to the annual budget process<\/li>\n<li>Insuring that we exceed our financial objectives<\/li>\n<\/ul>\n<\/ol>\n<\/div>\n<p>Once you have completed your Master Task List, you can begin scheduling these on your calendar. This is a process Todd Duncan calls \u201cTime Blocking.\u201d It ensures that you schedule your priorities and make time to do the things that are truly important.<\/p>\n<div
